Cancellations and Missed Lessons
Cancellations made with more than 24 hours' notice can be rescheduled or refunded.
Cancellations with less than 24 hours' notice are non-refundable.
If I need to cancel for any reason, the lesson will be rescheduled or refunded.
Punctuality and Attendance
Please be ready for the lesson to start at the scheduled time.
If the student is late, the session will still end at the agreed time and no refund will be given.
If a student is more than 10 minutes late without notice, the session may be forfeited and will not be rescheduled or refunded.
If I am more than 10 minutes late, I will make up the lost time at the end of the session or by arrangement.
If a student is consistently late or misses sessions without reasonable explanation, we may need to review whether tutoring continues.
Safeguarding and Child Protection
I am committed to the safety and wellbeing of all children I teach. I am DBS checked, hold public liability and professional indemnity insurance, and follow best practices for safeguarding.
A parent or guardian must remain in the home during in-person lessons unless alternative arrangements are agreed in writing.
Online lessons must take place in a shared space, not a bedroom.
I follow clear procedures to ensure a safe learning environment, and further details of my safeguarding measures are available on request.
Summer Art Club
Session Format
Summer Art Club sessions are delivered in a small group setting and run for four consecutive weeks on the dates advertised at the time of booking.
All materials required for the activities will be provided.
Activities are planned to be accessible and enjoyable for a range of ages and abilities. Reasonable adjustments will be made where possible, provided relevant information is supplied at the time of booking.
Booking and Payment
Places are limited and allocated on a first come, first served basis.
Payment must be made in full at the time of booking to secure a place.
Cancellations and Refunds
If a participant is unable to attend one or more sessions, refunds, credits, or replacement sessions will not normally be available.
If I need to cancel a session, an alternative session, credit, or refund will be offered where possible.
Medical Information and Additional Needs
Parents and carers must provide accurate information regarding any medical conditions, allergies, additional needs, disabilities, sensory needs, or other information that may affect a child's participation.
While reasonable adjustments will be made wherever possible, I reserve the right to discuss alternative arrangements if I am unable to safely meet a child's needs within the group setting.
Behaviour
All participants are expected to behave respectfully towards others, staff, equipment, materials, and fellow participants.
Where behaviour presents a risk to the safety or wellbeing of others, I reserve the right to contact parents and, if necessary, end a child's participation without refund.
Art Materials and Equipment
Activities may involve the use of paints, adhesives, low temperature glue guns, scissors, and other age appropriate art and craft equipment.
Participants will be appropriately supervised throughout the session and given appropriate safety instructions. Parents and carers acknowledge that participation in practical art activities carries a small risk of minor injury despite reasonable precautions being taken.
Collection and Supervision
Parents and carers are responsible for ensuring children are dropped off and collected promptly at the agreed times.
Children will only be released to authorised adults named at the time of booking unless alternative arrangements have been agreed in advance.
Parents are not required to remain on site during sessions. However, where a child experiences significant anxiety or requires additional reassurance, a parent or carer may remain in a separate room by prior arrangement.
Photography
Photographs may occasionally be taken during sessions for promotional purposes, social media, or display materials. Photographs will only be used where parental consent has been provided at the time of booking.
Emergency Medical Treatment
In the event of a medical emergency, I will make every reasonable effort to contact a parent, carer, or emergency contact. Where necessary, I may seek emergency medical assistance for a participant.
Safeguarding
I am committed to safeguarding and promoting the welfare of all children attending Summer Art Club. I hold an enhanced DBS certificate, maintain appropriate insurance, and follow safeguarding procedures designed to provide a safe and supportive environment for all participants. Any safeguarding concerns will be managed in accordance with current safeguarding guidance and, where necessary, referred to the appropriate agencies.
Data protection and privacy
Personal data is collected and processed in line with my Privacy Notice, which explains how information is used, stored, and protected. The Privacy Notice is available on my website.
Agreement
By booking a lesson, you agree to these terms and conditions.
These terms may be updated from time to time. The latest version will be sent out in advance of any changes.
